On Behalf Of The Board Of Directors:

The Board has approved the creation of a new officer and director position of Volunteer Coordinator. The new Volunteer Coordinator position would replace that of Merchandise Manager and would be responsible for attracting, organizing and assigning volunteers, shall organize the annual volunteer party and shall design and periodically review the Club's incentives program. The first Volunteer Coordinator will be elected at the Club's November 2015 elections.

Please review the Club By-laws

For clarification, has the Board followed the Club By-laws by which the Board should be governed in all matters? Pleased be transparent.

What was the reasoning and purpose of the change?  Please be transparent. Obviously, prior Boards of Directors felt it was important to add a Merchandise Manager to the Board and to have memberhip vote on the change to the By-laws.

Will the BOard be requesting  be updating the By-laws to update Article III:

Article III. OFFICERS Section 1. Titles of Officers. The elective officers of the Club shall be: a President; a Vice President of Programs; a Vice President of Rides; a Secretary; a Treasurer; a Public Relations Director; an Editor; a Webmaster; a Membership Director; a Special Events Coordinator; an “A” Rides Coordinator; a “B” Rides Coordinator; “C” Rides Coordinator; Escape New York Director; and Merchandise Manager. The Board may delete existing positions or create new ones as necessary; provided the Board notify the membership of said changes on or before September 1 The several footnotes appended to these By-Laws are for reference only, and do not form a part of these By-Laws. 2 1 of each year for inclusion in the election for the following year’s Board. Said changes shall require a two-thirds majority vote of the entire Board and shall result in a Board with at least nine, and no more than fifteen elected officers.

Yes and yes.  And you have already cited the relevant section of our Bylaws by which the Board provides Membership notice of such changes for the upcoming year: The Board may delete existing positions or create new ones as necessary; provided the Board notify the membership of said changes on or before September 1

We are adding the position of Volunteer Coordinator to address a chronic need.  That position will encompass the duties of Merchandise Manager.

Merchandise Manager was unfilled in 2015, so it fell to the Board to handle Incentives.  We soon determined that the task could be simplified, made less costly and more convenient to members by moving the order process online and enlisting a pair of bike shops to help with distribution.  Michael s Bernstein, our C-Rides Coordinator, stepped up to oversee the process. 

It then became clear that job of Incentives had dwindled to the point that it no longer warranted a Board position.  The ordering of non-Incentives merchandise had already been outsourced to Champion. 

Conversely, the Board identified the need for a person to coordinate volunteers on a year-round basis.   Too often the job of rousting volunteers had been falling through the cracks and no current Board position was a ready fit to take on the added responsibilities.
